Privacy Policy

EdgeFolio is a desktop payroll and attendance management application developed and maintained by IOTSoft ("we", "our", "us"). The application is distributed free of charge from edgefolio.iotsoft.in.

Locally on your PC (primary storage):

• Employee names, designations, departments, and contact details
• Attendance records — punch-in / punch-out timestamps from biometric devices or manual entry
• Salary structures, payroll components (basic, HRA, PF, ESI, PT), and monthly pay slip data
• Leave records, cash book entries, and company configuration
• Login credentials (admin accounts) — passwords are hashed with bcrypt

All data is stored in a local SQLite database file on your Windows PC. We do not have access to this data unless you explicitly share it.

EdgeFolio optionally syncs employee and attendance data (last 30 days) to a cloud server at edgefolio.iotsoft.in when internet is available. This feature:

• Is disabled by default and requires explicit configuration
• Transmits data over HTTPS (TLS encrypted)
• Stores a backup copy on our server for disaster recovery
• Does not include salary details or personally sensitive financial data beyond headcount sync
• Can be disabled at any time from the Settings page

We do not sell, rent, or share synced data with any third party.

Once activated, EdgeFolio periodically sends a small heartbeat to our licensing server at iotsoft.in containing only: your license key, a machine identifier, the app version, a count of active employees, and the date of the last payroll run. This is used solely to keep your license valid and, occasionally, to deliver a short in-app notice (e.g. "a new version is available").

We never transmit employee names, salaries, biometric data, attendance records, or any other personally identifiable information in the heartbeat. Your payroll and attendance data stays on your PC unless you separately opt into cloud backup.

This marketing website (edgefolio.iotsoft.in) does not use tracking cookies, analytics scripts, or third-party advertising. The only external resource loaded is Google Fonts for typography, which may log a request to Google's servers as per their own privacy policy.

No personal data is collected when you visit this website.

We take data security seriously:

• Passwords are stored as bcrypt hashes — never in plain text
• API sessions use JWT tokens with 24-hour expiry
• Two-factor authentication (2FA) is supported for admin login
• Local SQLite database is accessible only to the local machine user
• Cloud communication uses HTTPS/TLS exclusively

Since all data is stored locally on your PC, you have full control:

• Access: Open the application and view all your data directly
• Export: Export reports to PDF or Excel at any time
• Delete: Delete the application's data folder to permanently remove all records
• Portability: The SQLite database file is a standard format readable by any compatible tool

For cloud-synced data, contact us at iotsoft.in@gmail.com to request deletion from our servers.

EdgeFolio is a business application intended for use by companies and HR professionals. It is not directed at individuals under 18 years of age. We do not knowingly collect personal data from minors.

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of EdgeFolio after changes constitutes acceptance of the updated policy.

For significant changes, we will post a notice in the application's Settings page or via the in-app announcement banner.
